Hermes · filing assistant · beta

Your paperwork, filed without the cloud

Hermes is the bureaucrat built into ncrs. It reads letters, invoices and receipts, works out who sent them and what they are, and files them into your folders. Everything happens on your computer.

How a document travels

Each step only does what the previous one couldn't. Rules come first because you can read and check them; the AI only fills what is still empty.

1 · Inbox · TubesArrivesA PDF or photo lands in your inbox folder: scanned, downloaded or dropped.
2 · ReadTextText comes out of the PDF, or from OCR for scans and photos.
3 · RulesRecogniseSender by letterhead, IBAN or VAT ID. Kind, date, number, amount, tax context.
4 · Local AIFill gapsA small model on your machine fills empty fields. It never overrides a rule.
5 · Review · PendingYou checkUnsure or conflicting results wait for you, with the reason shown.
6 · Filing location · Central FilingFiledRenamed and moved into your folder structure.

Folders you only want searched, not changed, are added as archives (Records): Hermes indexes them and moves nothing.

Setup

Set up in three steps

Tell Hermes where documents arrive and where you keep them. Nothing is moved until you save.

  1. Cmd Shift L opens the setup, or "Hermes: choose folders" in the command list (F1).
  2. Add the inbox (optional) and your document folders.
  3. With several document folders, pick the filing location; the others become archives.
Rules Coming in 1.2

Rules you can read

Every rule reads as a sentence. Build one from a form with condition rows, start it from a document in review, and see what it would match while you edit it.

Hermes also suggests rules from what you confirm, per sender and with the reason. You accept or dismiss them.

Review · Pending

You stay in charge

Nothing is filed before you confirm it. Unsure or conflicting results wait for you with the reason, and each entry shows where the document would go. The AI only fills fields the rules left empty.

Coming in 1.2 A larger document preview, and every field showing whether it came from a rule, the AI or you.

Search and reports Coming in 1.2

Find it again, add it up

Search every filed document by sender, kind, year or tax context. Save a search as a report with totals, for example all deductible receipts of a year.

Tax contexts

Your own tax categories

Household, self-employment, rental property: define the contexts that fit your life. Conditions assign them; if none or several match, the document asks you.

Private by design

OCR and the AI model run on your computer. A model server of your own, on the same computer for now, can be used instead; nothing is sent anywhere unless you set that up.

Encrypted index

What Hermes learns lives in an AES-256 encrypted database (the default). The key sits in your system keychain, with a recovery key shown once.

Polite to your laptop

Choose the load: Gentle (By the book), Balanced (Business as usual), or Full (Grade 36) when it may use every core.

About the beta

Every new version keeps your documents and migrates the index; the migrations are tested. Screens and rules may still change before Hermes leaves the beta. The file manager itself does not depend on it.
